Driving standardization of clinical protocols

Improving compliance with clinical protocols, standardizing prescribing practices and reducing billing errors across an extended organization.

 

The leaders of a large veterinary group recognized the need to improve standardization across many of the clinics which they had acquired. They were focused on consistency of care through common clinical protocols, achieving cost savings through harmonized prescribing practices, and ensuring fair and accurate billing. 

Sweetfish was being used elsewhere within the group, and they saw the potential for applying it to this new challenge. They asked if we could implement Sweetfish to help them drive improved compliance in key areas. 

 

Developing the focus for improvement 

Their clinical board had some clear ideas about what was most important from a standardization perspective. This included areas which needed improvement as well as those where they wanted to monitor and maintain existing high standards. 

We used Sweetfish to review their billing data, which confirmed their thinking about the areas of inconsistency in billing and highlighted additional areas to focus on.  

Together we developed and fine-tuned the ‘rules’ which Sweetfish uses for its real-time checking and prompting. These were applied to the system, and the Sweetfish integration was activated within their Provet Cloud system. 

 

Prompting and reporting compliance 

Because Sweetfish in tightly integrated into their PMS, their staff required very little briefing before it went live. An initial pilot proved that the greater majority of staff were happy with the way Sweetfish provided prompts and assistance. There was an immediate uptick in compliance from most veterinarians. 

Once the system was rolled out across all the target clinics, Sweetfish provided detailed reports for management. This included insights into which protocols and procedures were seeing the greatest improvement and where more attention was still required. 

Sweetfish also provided practice managers with granular data about staff performance. They used this data to understand which individuals needed improvement and to guide conversations with them.
